PART 1 — PRIVACY POLICY
1. INTRODUCTION
This Privacy Policy describes how Signature Sound Studios ("we," "us," "our," or the "Company"), operating the website reachsandiego.com (the "Site"), collects, uses, discloses, and protects information about visitors, users, prospective customers, and customers ("you," "your," or the "User"). By using this Site, submitting a form, calling us, texting us, or otherwise providing information to us, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Site or submit information to us.
2. INFORMATION WE COLLECT
A. Information You Voluntarily Provide. When you fill out a form, request a quote, book a tour, subscribe to a mailing list, chat via our on-site messenger, call us, or text us, we may collect: first and last name, email address, mobile and/or landline phone number, company or organization name, project details (project type, timeline, budget range, description), any other information you include in message fields, and communications preferences (SMS opt-in, email opt-in, consent checkboxes).
B. Information Collected Automatically. When you visit the Site, we and our third-party service providers automatically collect: IP address; device type, operating system, and browser; pages viewed, time on page, click patterns, scroll depth, and general behavior on the Site; referring URL and search terms used to find us; UTM parameters (traffic source, medium, campaign identifiers, ad variant identifiers); approximate geographic location (city/region level, derived from IP); date and time of visit; session recordings and heatmap data (aggregated, anonymized on-page interactions); and conversion events (such as when you submit a form or complete another tracked action).
C. Information from Third Parties. We may receive information about you from ad platforms and referral sources (OpenAI ChatGPT Ads, Google Ads, Microsoft Advertising, Meta/Facebook, X/Twitter, and similar platforms); analytics providers (Google Analytics 4, Microsoft Clarity); communications and CRM tools (Go High Level / HighLevel); and publicly available business directories if we've researched your organization prior to your outreach.
3. HOW WE COLLECT INFORMATION
We collect information through web forms on reachsandiego.com and its subpages (e.g., /land, /studios, contact forms, quote requests, tour requests); the on-site chat widget (powered by Go High Level); email correspondence you initiate or respond to; phone calls and text messages to and from our phone numbers; cookies, pixels, web beacons, and similar tracking technologies; session recording and heatmap tools (Microsoft Clarity); analytics tools (Google Analytics 4); browser-based advertising pixels from platforms including but not limited to OpenAI ChatGPT Ads, Google Ads, Microsoft Advertising, Meta, and X; and server-to-server conversion event transmissions (the OpenAI Conversion API, or "CAPI," which we use to send hashed and non-hashed event data to OpenAI's servers when a form is submitted, so ad performance can be measured accurately even when browsers block client-side pixels).
4. HOW WE USE YOUR INFORMATION
We use the information we collect to respond to your inquiries, quote requests, and tour bookings; provide the products and services you request; send you transactional communications (booking confirmations, receipts, tour reminders); send you marketing communications by email and SMS/text, subject to your consent (see Sections 5 and 6); personalize your experience on the Site and in our communications with you; analyze Site performance, user behavior, and marketing campaign effectiveness; measure ad campaign attribution and conversion via server-side and client-side conversion tracking; improve the Site, our services, our marketing messages, our forms, and our booking process; detect and prevent fraud, abuse, or unauthorized use; comply with legal obligations, court orders, and lawful requests from regulators; and enforce our Terms of Service.
5. SMS AND TEXT MESSAGE PROGRAM (TCPA COMPLIANCE)
Consent. By providing your mobile phone number and checking the SMS opt-in box on any of our forms (or by texting us first), you expressly consent to receive text messages from Signature Sound Studios, including automated messages, related to your inquiry, your bookings, promotions, offers, reminders, and follow-up communications about our services.
Message Frequency. Message frequency varies. You may receive up to several messages per week depending on your activity and inquiry status.
Message and Data Rates. Standard message and data rates may apply. Check with your mobile carrier for details.
Opt-Out. You may opt out of SMS communications at any time by replying STOP to any message. After opting out, you will receive one confirmation message. To rejoin, reply START to a previous message or contact us at the email above.
Help. For help or questions, reply HELP to any message or email us at the address listed above.
Consent Not a Condition of Purchase. Your consent to receive SMS marketing messages is not a condition of purchasing any of our products or services.
Content. Text messages may include appointment reminders, quote information, promotional offers, service updates, event invitations, and follow-ups about ongoing projects.
Carriers. We are not liable for delayed or undelivered messages caused by your mobile carrier or wireless service.
6. EMAIL MARKETING (CAN-SPAM COMPLIANCE)
By providing your email address, you consent to receive emails from us, including marketing emails, subject to your right to unsubscribe. Every marketing email we send includes our business name and physical address; a clear "unsubscribe" link that lets you opt out with one click; and honest subject lines that reflect the content of the email. You can unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email, or by emailing us at the address above with the word "Unsubscribe" in the subject line. We will honor unsubscribe requests within 10 business days. You may continue to receive transactional emails (booking confirmations, receipts, direct responses to your inquiries) even after unsubscribing from marketing emails, as these are necessary for us to provide the services you have requested.
7. COOKIES, TRACKING TECHNOLOGIES, AND SERVER-SIDE EVENT MEASUREMENT
We use cookies, pixels, web beacons, session storage, local storage, server-side event transmission (Conversion APIs), and similar tracking technologies to operate the Site, analyze traffic, measure ad performance, and personalize your experience.
Types of tracking we use:
- Strictly necessary cookies — required for the Site to function.
- Analytics cookies and identifiers — Google Analytics 4 (tracks anonymized user behavior, session duration, pages visited, campaign attribution).
- Session recording and heatmap tools — Microsoft Clarity (records anonymized on-page interactions, mouse movement, scroll behavior, and click patterns).
- Advertising and conversion cookies and pixels — used by ad platforms including OpenAI ChatGPT Ads, Google Ads, Meta/Facebook Pixel, Microsoft Advertising, X Ads, and others, to measure ad performance and enable remarketing.
- Attribution cookies — capture UTM parameters and traffic source so we can measure which marketing channels drive results.
- Server-side conversion event transmission (Conversion APIs) — When you submit a form on our Site, an automated workflow within our CRM (Go High Level) may transmit event data server-to-server to advertising platforms (including OpenAI Ads via its Conversion API) to allow accurate attribution of your action back to any ad you may have clicked. Data transmitted may include a hashed or unhashed identifier (event ID), timestamp, source URL, action source, and select personal information (which may include your email, phone number, first name, last name, UTM parameters, project type, and timeline) so the platform can match your action to prior ad clicks. This data is transmitted only to platforms with contractual data-processing terms in place and only for measurement and optimization of the ads you were served.
You can control cookies through your browser settings. Most browsers allow you to refuse cookies, delete existing cookies, or notify you when a cookie is being set. Disabling cookies may affect the functionality of the Site. Some of the tools we use also honor "Do Not Track" signals to varying degrees. As of the effective date of this policy, we do not otherwise respond to Do Not Track signals from your browser.
8. THIRD-PARTY SERVICE PROVIDERS
We share information with the following categories of third-party service providers strictly to operate our business and deliver the services you request:
- Go High Level (HighLevel LLC) — our CRM, marketing automation, SMS/email platform, calendar system, form host, and webhook automation platform.
- Google LLC — analytics (GA4), advertising (Google Ads), and cloud services.
- Microsoft Corporation — analytics and session recording (Clarity), advertising (Microsoft Advertising).
- OpenAI, L.L.C. — advertising platform (ChatGPT Ads) and conversion measurement (Conversion API).
- Meta Platforms, Inc. — advertising (Meta/Facebook Ads, Instagram).
- X Corp — advertising (X Ads).
- Payment processors — for any transactions (e.g., Stripe, Square, PayPal, or similar; specific processors may change over time).
- Telecommunications providers — for SMS delivery and phone call routing.
- Email delivery services — for transactional and marketing email delivery.
- Web hosting and domain providers — for Site operations.
- Legal, accounting, and professional advisors — as necessary.
We do not sell your personal information to data brokers. However, some of the advertising, analytics, and conversion-measurement services above may constitute "sharing" or "sale" of personal information as those terms are defined under California law. See Section 12 for how to opt out.
9. HOW WE SHARE YOUR INFORMATION
We share your information only in the following circumstances: with your consent, when you explicitly authorize sharing; with service providers as described in Section 8, under contractual obligations to protect your data; to respond to your requests, for example, sharing your project details with our production team to prepare a quote; for legal reasons, to comply with laws, subpoenas, court orders, or lawful government requests; to protect rights and safety, to enforce our Terms of Service, protect our property, prevent fraud, or protect the safety of any person; and in connection with a business transaction, meaning if we are involved in a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred as part of that transaction. We do not sell your personal information for monetary consideration to third parties for their independent marketing purposes.
10. DATA RETENTION
We retain your personal information for as long as necessary to fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Prospect and lead data (form submissions, inquiries): typically retained for 3–5 years or until you request deletion. Customer records (past clients): retained for 7 years after the last transaction, consistent with California tax and business record-keeping requirements. Marketing subscriber lists: retained until you unsubscribe or request deletion. Analytics data: retained per the retention settings of the analytics tool (GA4 default is 14 months; Clarity retains recordings for approximately 90 days). Conversion event data sent to advertising platforms is retained per those platforms' own data policies, which we do not control. You may request deletion of your personal data at any time (see Section 12).
11. DATA SECURITY
We take commercially reasonable steps to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Measures include HTTPS/TLS encryption on our Site; password-protected access to our CRM, marketing platforms, and API credentials; access controls limiting who at our company can view your data; regular software updates on the platforms we operate; encrypted storage of API keys and access tokens used for advertising and analytics integrations; and reliance on reputable third-party service providers (see Section 8) that maintain their own industry-standard security programs. However, no method of transmission or storage over the internet is 100% secure. We cannot guarantee absolute security. If we become aware of a security breach that affects your personal information, we will notify you as required by applicable law.
12. YOUR RIGHTS
A. California Residents (CCPA / CPRA). If you are a California resident, you have the following rights regarding your personal information: right to know, meaning you may request that we disclose the categories and specific pieces of personal information we have collected about you, the sources, the business purposes, and the third parties with whom we share it; right to delete, meaning you may request that we delete personal information we have collected from you, subject to certain legal exceptions; right to correct, meaning you may request that we correct inaccurate personal information we hold about you; right to opt out of sale/sharing, meaning you may request that we stop sharing your personal information with third parties for cross-context behavioral advertising (including server-side conversion event transmissions to ad platforms); right to limit use of sensitive personal information, meaning you may request that we limit the use of your sensitive personal information as defined by California law; and right to non-discrimination, meaning we will not discriminate against you for exercising any of these rights. To exercise any of these rights, contact us at the email or address listed above with the subject line "California Privacy Request." We will respond within 45 days as required by law. You may need to verify your identity before we can process the request. You may also authorize an agent to make a request on your behalf, with a written authorization signed by you.
B. All Users. Regardless of your state or country of residence, you may access (request a copy of the personal information we hold about you); correct (request that we update information that is inaccurate); delete (request that we delete your information, subject to legal exceptions); opt out of marketing (unsubscribe from emails or reply STOP to texts at any time); and withdraw consent (where processing is based on your consent, you may withdraw it at any time). To make any of these requests, contact us at the email above.
13. DO NOT TRACK
Some browsers offer a "Do Not Track" (DNT) setting. There is no industry consensus on how to respond to DNT signals. At this time, our Site does not respond differently based on your browser's DNT setting.
14. CHILDREN'S PRIVACY (COPPA)
Our Site and services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly. If you believe we may have information from a child under 13, please contact us at the email above.
